24 July 2026Search the internet for the top reasons enterprise asset management system (EAMS) implementations fail, and you’ll find a familiar list: insufficient training, poor vendor support, scalability limitations. Rarely will you find the reason that sits at the root of many failed projects — the software simply doesn’t support the business process it was meant to serve. It’s one of the most common causes of EAMS disappointment, and one of the least discussed, because it hides behind more visible symptoms.

## What a business process really is

A business process is a structured set of related activities that work together to deliver a specific outcome for a specific customer. It’s often mapped as a flowchart, but the flowchart isn’t the point. The point is that every activity in the sequence exists to serve a larger purpose. In asset management terms, this sits at the heart of ISO 55000: asset management activities must align with, and demonstrably support, the organisation’s broader strategic goals. A process not tied to that goal isn’t really a process — it’s just activity.

## Where most EAMS selections go wrong

If this alignment is so fundamental, why do EAMS tenders so rarely reflect it? Look at almost any request for proposal and you’ll find a long list of features and functionalities, but very little describing the business processes the system needs to support. This isn’t an oversight so much as a symptom of a deeper gap: business processes are harder to define than functionality. They’re often undocumented, poorly understood, and rarely recognised as the true value-adding element of the system.

## Where the real value comes from

An EAMS delivers its greatest return not when it has the most features, but when it optimises the processes that support your asset management goals. That value shows up in two ways: automating processes, for example work order scheduling, and feeding back on how well those processes are performing, for example backlog management. Properly defined processes also link the EAMS to strategy, clarify required outputs, protect data integrity, and support proper training and change management.

## Business processes in the age of IoT and connected work management

The case for process-first thinking has only grown stronger as EAMS technology has evolved. Asset environments increasingly draw real-time data from IoT sensors, condition-monitoring devices, and connected systems such as SCADA, GIS and mobile work management applications. This raises the stakes on process design rather than lowering it. Sensor data not tied to a defined triage process becomes noise, and a mobile work app not built around a clear maintenance workflow simply digitises a poor process, making it faster but no better.

Done well, the combination is powerful. IoT data can automate the feedback side of the process, surfacing asset condition in near real time rather than waiting for a scheduled inspection. Work management applications extend automation to the field, giving technicians mobile access to work orders at the point of work. Organisations that get the most value define the process first, then configure the technology accordingly.

## Selecting and implementing the right EAMS

Start with the right partner: a vendor that understands asset management, not just software, and the context of your organisation and industry. That vendor should help assess your current asset management maturity and develop a plan aligned to your broader strategy. This plan should define the business processes that need to be in place and optimised. Configuration should always follow, and support, these processes, with change management built in from the start, creating a clear line of sight between the EAMS and the organisation’s strategic goals.

## The bottom line

Don’t purchase and install an EAMS. Implement it as part of a broader, deliberate asset management improvement process — the software is only as good as the process it’s built to serve.
